Re: [FOSS4G 2016] Fwd: Re: [Journal] Feedback: [FOSS4G Proceedings] Reminder - Publication of papers of the FOSS4G 2016 Academic Trac

Venkatesh Raghavan-2
Dear All,

I am forwarding a request from Academic Chair of FOSS4G-2016, Bonn
regarding funding for formatting and layout of OSGeo Journal issue
incorporating selected papers presented at FOSS4G-2016 (adademic track).

The request is for 1200Euro, for 24 hours of work @50Euro/hour.

Is it OK to start a Loomio voting to consider this request.

Best

Venka

Hi All,

On second thought, we could also request the Bonn-LoC
to handle this request from the surplus generated at
FOSS4G-"016, Bonn.

(In fact I had the impression at FOSS4G Europe that you have too much
pressure at the moment.)

Nevertheless because of the request of Andy (see below) I'd like to come
back to the funding of 2 days work for formatting for another issue of
the OSGeo journal.

Whe will the decision of the board happen?

Best regards - Franz-Josef

Hi, Franz-Josef,

We are preparing proceedings for FOSS4G 2017, and was expecting that it
would be volume 17 of the OSGeo Journal. But I wanted to check with you
if there are 2016 proceedings that will be published as volume 16? I
don’t see them here:

Thanks,

Hi Franz-Josef,

Editing isn't necessarily done in svn but the source files are put
in svn. Using svn can be especially useful if it is a
collaborative process between multiple people (someone else
assembles and then I copy edit and then they produce output). I
would consider svn a minor detail. Use of svn can also be helpful
for coordinating correct volume number, etc. You can check
previous work,
http://trac.osgeo.org/osgeo/browser/journal/volume_14 or
http://trac.osgeo.org/osgeo/browser/journal/volume_13 etc.

*I do suggest paying someone since I've not seen volunteers
successfully completing professional level output in a timely
manner for four or five years. It is a somewhat rare skill too.
*Someone who can professionally assemble multiple articles into a
journal volume. Barend and Gary are two that I know of but you
could certainly find others. Please have whoever it is coordinate
with the conference committee.

I'm happy to help guide you (or someone you hire) through the
process. Also happy to volunteer copy editing.

Best regards, Eli

Dear Venka
Thanks for forwarding. I'm a bit surprised by the request. I believed that the organisation of the Academic Track and everything related was on voluntarily basis. I have been chairing for some years both the International and European, producing Proceedings as well. In the case of FOSS4G Paris we published with ISPRS and we chose the less expensive option comporting that the most of the work for preparing the Proceedings was on the shoulders of the chair (in this case it was me).
I'm fine with every decision, but I want that everything is clear in order to avoid having people doing activities and being paid and other people doing similar activities without being paid.
Before voting, probably I need more pieces of information for better understanding. Probably there is something that I am missing.
Best.
Maria

This is a very good idea, it saves the wire transfer costs and the transaction is handled all in euros.

On second thought, we could also request the Bonn-LoC
to handle this request from the surplus generated at
FOSS4G-"016, Bonn.

Re: [FOSS4G 2016] Fwd: Re: [Journal] Feedback: [FOSS4GProceedings] Reminder - Publication of papers of the FOSS4G 2016 AcademicTrac

Venkatesh Raghavan
Hi Till,

Would it be possible to handle the request from Academic Chair of
FOSS4G-2016, Bonn
regarding funding for formatting and layout of OSGeo Journal issue
incorporating selected papers presented at FOSS4G-2016 (academic track).

The request is for 1200Euro, for 24 hours of work @50Euro/hour.

We would like to know if it would be possible to make payment from the
surplus generated at FOSS4G-2016.

The board will vote on this request aftern hearing from you.

Best

Venka

Re: [FOSS4G 2016] Fwd: Re: [Journal] Feedback: [FOSS4GProceedings] Reminder - Publication of papers of the FOSS4G 2016 AcademicTrac

Suchith Anand
I want to thank everyone involved in getting these academic track papers published from FOSS4G conferences. It is huge efforts and thanks to all who worked to make this possible. I really hope we will have a clear mechanism in place (esp. thanks to Charlie's help in FOSS4G Boston )  , so we can get future AT proceedings for all FOSS4G events (not just global but also local events) published  online.

I request all colleagues meeting at Boston to discuss and plan ideas for this. Thanks.

Best wishes,

Suchith

Hi Board,

Can we add the item below to the f2f agenda?

Item: Request from Boston Academic Committee Chair
(Franz-Josef) for 1200Euro for layout and proofing of
OSGeo Journal issue of select papers presented at FOSS4G-Bonn.

Till has agreed to transfer the funds from surplus generated
at FOSS4G-Bonn after getting the board approval.

Best

Venka

We would be happy to help setup that meeting once all are in Boston. We might suggest our "Birds of a Feather" process where we will have two rooms dedicated to popup meetings of this nature. There is a Wiki page open now here, and there will be an onsite signup board as well. You might also socialize this idea at the FOSS4G Academic Reception on Tuesday night at MIT. So far we have over 100 academic people registered for this fun, event on the banks of the Charles River.

I believe you have a type-o in the first sentence of your second paragraph where you mention "Boston" when I think you intended Bonn.

Hi Franz-Josef,

Editing isn't necessarily done in svn but the source files are
put
in svn.  Using svn can be especially useful if it is a
collaborative process between multiple people (someone else
assembles and then I copy edit and then they produce output).  I
would consider svn a minor detail. Use of svn can also be helpful
for coordinating correct volume number, etc. You can check
previous work,
http://trac.osgeo.org/osgeo/browser/journal/volume_14 or
http://trac.osgeo.org/osgeo/browser/journal/volume_13 etc.

*I do suggest paying someone since I've not seen volunteers
successfully completing professional level output in a timely
manner for four or five years.  It is a somewhat rare skill too.
*Someone who can professionally assemble multiple articles into a
journal volume. Barend and Gary are two that I know of but you
could certainly find others.  Please have whoever it is
coordinate
with the conference committee.

I'm happy to help guide you (or someone you hire) through the
process.  Also happy to volunteer copy editing.

Best regards, Eli

Re: [FOSS4G 2016] Fwd: Re: [Journal] Feedback: [FOSS4GProceedings] Reminder - Publication of papers of the FOSS4G 2016 AcademicTrac

Helena Mitasova-7
In reply to this post by Venkatesh Raghavan
I added it to the agenda. Also I have re-organized the agenda a little bit to put the items that hopefully won’t require too much time first and the items which require in depth reports and discussion later. I have also added a brief report from the Boston LOC at the beginning of the meeting.
This would also give Jeff enough time to get there.

The agenda so far is here - please add items or more details as needed

I will add the location of the meeting tomorrow, as soon as I get it from LOC (you have seen my emails with
Michael - I hope the payment for the room is OK with everybody).

see you all soon,

Helena

Venka,

This is a very good idea, it saves the wire transfer costs and the

track).

The request is for 1200Euro, for 24 hours of work @50Euro/hour.

Is it OK to start a Loomio voting to consider this request.

  Dear Venka,

I hope you are fine!

(In fact I had the impression at FOSS4G Europe that you have too much
pressure at the moment.)

Nevertheless because of the request of Andy (see below) I'd like
to come
back to the funding of 2 days work for formatting for another
issue of
the OSGeo journal.

Whe will the decision of the board happen?

Best regards - Franz-Josef

Hi, Franz-Josef,

We are preparing proceedings for FOSS4G 2017, and was expecting
that it
would be volume 17 of the OSGeo Journal. But I wanted to check
with you
if there are 2016 proceedings that will be published as volume 16? I
don’t see them here:

https://journal.osgeo.org/index.php/journal

Thanks,

— Andy

    Dear Venkatesh,

one of my unfulfiled duties is the publication of several papers
submitted and accepted in the academic track of FOSS46 2016.

Eli suggests that some experienced people should do the
copyediting and layout for these papers to publish a new issue of
our OSGeo Journal. Till Adams recommended to contact the OSGeo
board if this work could be financed out of the surplus of the
conference held here in Germany.

Please let us know your opinion or suggestion.

Hi Franz-Josef,

Editing isn't necessarily done in svn but the source files are
put
in svn.  Using svn can be especially useful if it is a
collaborative process between multiple people (someone else
assembles and then I copy edit and then they produce output).  I
would consider svn a minor detail. Use of svn can also be helpful
for coordinating correct volume number, etc. You can check
previous work,
http://trac.osgeo.org/osgeo/browser/journal/volume_14 or
http://trac.osgeo.org/osgeo/browser/journal/volume_13 etc.

*I do suggest paying someone since I've not seen volunteers
successfully completing professional level output in a timely
manner for four or five years.  It is a somewhat rare skill too.
*Someone who can professionally assemble multiple articles into a
journal volume. Barend and Gary are two that I know of but you
could certainly find others.  Please have whoever it is
coordinate
with the conference committee.

I'm happy to help guide you (or someone you hire) through the
process.  Also happy to volunteer copy editing.

Best regards, Eli

     Dear Eli,

thank you for your message and the offered support.

I'd like to understand better the process. Is the editing
done

German FOSSGIS) for the editing work?

         Hi Franz-Josef,

To proceed, you need to find someone willing to guest
edit an
         edition
of the OSGeo Journal and assemble everything.  Is there
anyone
         from
the LOC who might volunteer?   Hiring someone (Barend
or Gary
         Sherman
are the first possibilities I can think of and I don't
know if
         either

I'll help with copy editing to check minor details are
consistent
(spelling, page numbers, etc).  I can also help get
people
         access to
svn or add the material for them.
